Detailed Job Description:

  • $37.00 per hour + Superannuation
  • A diverse administrative position that blends front-line interaction with essential back-office functions
  • 1-month Temp contract based in the Inner West suburb of Rozelle

Based in their Rozelle Head Office, you’ll join a dedicated, diverse, and welcoming team during an exciting period of growth. This role presents a unique opportunity to oversee front office functions, coordinate office operations, and manage diverse administrative tasks supporting Marketing, Legal, and People & Culture teams.

What is unique about you?

As an administrative all-rounder with a passion for supporting diverse business functions, this role offers a variety of responsibilities including dipping into People & Culture initiatives, assisting the events team with pre-event planning, and contributing ideas to ad hoc marketing collateral. Additionally, you will serve as a fantastic central point as the office coordinator. This position is perfect for someone who thrives on variety and enjoys utilising a wide range of skills and putting on a different hat or two!

Organisation will be key to this role, whether you utilise a spreadsheet, OneNote, Trello, or colour-coded to-do lists and priority matrices. Being across your workload and the needs of the office will see you successfully take on this Team Assistant position. You’re a team player with excellent communication skills and emotional intelligence. You love building and maintaining relationships with key stakeholders across the business. As someone who is happy to get stuck into a variety of tasks, you understand the bigger picture in mind, no task is too small if it makes the team around you more effective. Working with senior members of the business and sitting within the Executive Office, you are highly presentable, professional and pride yourself in your communication and correspondence skills.

This role includes an in-depth handover for a week with the current team member and ongoing support throughout your one-month contract. Your confidence in your administrative experience, extensive skillset, and ability to learn quickly will make your transition not only smooth but also an exciting opportunity to demonstrate your versatility and impact from day one.

A snapshot of your role…

  • Manage the front office function, being first port of call for executive office phone enquiries alongside triaging a variety of departmental and general enquiry inboxes
  • Assist the Executive Assistants with travel coordination and accommodation bookings when required for the wider team
  • Support the People & Culture team with onboarding new starters by setting up IT access and preparing first-day orientation packs. Collaborate with the Marketing team to support the creation and distribution of internal collateral. Additionally, provide administrative and document assistance to the Legal team, ensuring all needs are efficiently met

 

  • Maintain office supplies, stationary stock and kitchen amenities, liaise with building management for any maintenance needs including outsourced IT suppliers
  • Take full ownership of the internal meeting room booking system for the wider team, ensuring smooth operations and efficient scheduling
  • Collaborate with the events team to source suitable spaces, coordinate catering and refreshment orders, and address any other pre-event planning needs
