Detailed Job Description:

  • $37 per hour + Superannuation
  • A varied position working across senior stakeholders and esteemed colleagues
  • Sydney CBD location | 3-6 month temporary contract

Joining the team of 8, you will be working collectively to support the team in this flat structure business based in the centre of Sydney CBD!

As an experienced administrator with a proven track record of supporting senior colleagues within organisational settings, you can seamlessly transition into this temporary Team Assistant role with confidence and competence. Given the unique composition of stakeholders, beneficiaries, and partners associated with this organisation, your professional and polite verbal and written communication skills, coupled with your ability to exercise tact, diplomacy, and discretion, instil confidence in your capacity to navigate the intricacies of these relationships.

Being a highly organised individual, you excel in anticipating future developments and maintaining a comprehensive understanding of the team’s workload. This skill set uniquely equips you to proactively support team members and pre-empt organisational opportunities effectively. Demonstrating your positive, professional, and approachable disposition is pivotal in building strong relationships within the team. Your welcoming demeanour ensures team members feel comfortable turning to you for support on projects, tasks, and ad hoc requests. Your genuine willingness to assist and get involved enhances the already collaborative and supportive work environment!

A snapshot of your role…

  • Schedule internal team meetings and manage board meeting bookings, coordinating logistics such as refreshments, catering, and IT/tech support
  • Prepare documentation and assemble packs for senior meetings, including collating corporate governance documents, contracts, policies, and meeting governance requirements
  • Manage team travel logistics, including coordinating flights, accommodation, and transportation arrangements

 

  • Oversee office and reception duties including, being the first point of contact for phone enquiries, greeting office visitors, and maintenance tasks such as restocking supplies, maintaining common spaces, and supporting staff needs
  • Liaise with facility management vendors, including property managers, cleaning, catering, security services, and suppliers
