As an Executive Team Assistant, your organisational prowess and problem-solving skills will drive operational excellence for a team of fifteen. In this fast-paced environment, you’ll expertly manage competing priorities and deadlines with composure.

With a keen eye for detail and a deep understanding of the business landscape, you’ll anticipate needs and support the team’s objectives. Your ability to multitask and adapt ensures no task, however complex or time-sensitive, is overlooked.

Superior communication skills will enable you to liaise confidently with stakeholders at all levels, conveying complex information clearly and precisely.

In this multifaceted role, you’ll handle diverse administrative tasks, from managing schedules and coordinating meetings to overseeing project logistics and ensuring seamless workflows. A snapshot of your role…

  • Seamlessly manage and process monthly expense reports for team reimbursements through the company’s financial system, Concur, ensuring full adherence to established processes and protocols
  • Collaborate with a global network of assistants to coordinate and schedule complex internal and client-facing meetings across multiple time zones, demonstrating exceptional time management and cross-cultural communication skills
  • Orchestrate client meetings for managers, overseeing comprehensive agenda preparation, collating relevant materials, and ensuring seamless execution of technical aspects such as video conferencing and dial-in connections

 

  • Take ownership of team travel logistics, meticulously arranging interstate client meetings, hotel accommodations, and ensuring stringent compliance with company travel policies for a seamless experience
  • Maintain and update critical compliance registers and invoice processing for Legal & Compliance and Operations teams, leveraging internal platforms to ensure accuracy, timeliness, and adherence to regulatory requirements
