Executive Assistant to CEO & COO

Detailed Job Description:

  • $150,000 + super
  • Private equity
  • Sydney CBD | Fully in office

What makes this company unique?

  • This isn’t the sort of EA role where you’ll spend your days just managing diaries and booking meetings. These executives will rely on you to keep everything moving, both professionally and personally
  • It’s a busy environment where priorities change, things move quickly, and you’ll need to be comfortable thinking on your feet. If you love variety, you’ll never be bored here
  • 30% of the role is focused on personal support. One day you might be preparing executives for important meetings, the next you’ll be organising client dinners at some of Sydney’s best restaurants or helping coordinate an event at the CEO’s home
  • You’ll find yourself working with an interesting mix of people, from clients and investors to philanthropists, gallery owners, and art collectors. It’s a role that will constantly expose you to new people and experiences
  • The CEO and COO have an open-door style, involve their EA in what’s happening, and want someone who’ll quickly become part of the fabric of the business

What is unique about you?

  • You manage priorities exceptionally well. You are a confident decision maker
  • You get to understand how your executive’s work: their likes and dislikes, deal makers and deal breakers, and when and how they are at their best energy levels
  • You are someone executives can genuinely lean on
  • You’re naturally organised and love bringing order to busy days. People often comment that you just make life easier
  • You’re someone who notices the little things. You take pride in getting the details right because you know they matter
  • You’re confident communicating with people at every level, always coming across as polished, professional, and approachable
  • You know that roles like this don’t always fit neatly into a 9-to-5. You’re flexible when needed because you understand that’s part of being a trusted right hand

A snapshot of your role…

  • Manage busy diaries, travel, meetings, and everything else needed to keep the CEO and COO one step ahead
  • Coordinate personal commitments, client entertainment, exclusive events, reservations, and lifestyle support with complete discretion
  • Prepare meeting papers, presentations, briefing packs, and follow-up actions so every detail is covered

  • Build strong relationships across the business and with external stakeholders. Everyone will know you’re the go to person!
  • Anticipate your executive’s needs, protect their energy, and help them stay focused on the bigger picture
