As the company navigates this period of growth and transformation, they are seeking an experienced Executive Assistant with an operational mindset—someone who can seamlessly manage high-level, business-critical priorities without losing sight of the equally important day-to-day responsibilities.

With two interconnected businesses at different stages of maturity, this role offers an unparalleled chance to make a real impact. One organisation is in its early, dynamic start-up phase, where you will play a key role in project planning, management, and process implementation. The other is a well-established, sleekly run operation that requires modernisation and updates to current processes while maintaining its seamless functionality.

Few roles provide this level of access to a CEO and the chance to work so closely as a true partner, treating the company’s success as if it were your own.

Given the hands-on nature of this role, you will act as the CEO’s eyes and ears while helping to lead and support the wider team. This is a full-time, office-based position that thrives on teamwork. In their office, collaboration isn’t just a phrase on the wall; it’s a core value lived by every member of the organisation. What is unique about you?

As an experienced Executive Assistant/Operations Manager with a proven track record of longevity in previous roles, you are detail-oriented and thrive on supporting a high-performing CEO. You understand the importance of sweating the small stuff and recognising why it matters.

In this multifaceted role, you will be accustomed to working in a 360-degree capacity. One moment, you could be liaising with suppliers for an office fit-out, overseeing a website build, or preparing for a key event; the next, you might be setting up a cake and gift for a team celebration. In this team, there’s no room for “that’s not my job.” Everyone rolls up their sleeves, and it’s not unusual to see the CEO unpacking the dishwasher.

As the CEO’s 2IC, you’ll bring exceptional emotional intelligence and a level of maturity that enables you to understand the office dynamics. You will be the go-to person, a fountain of knowledge, and the one who ensures that things run smoothly. You’ll be able to anticipate potential issues and flag them before they arise.

Your financial acumen will also be key, as you’ll manage budgets, oversee company profits, and liaise with accountants on business finance matters. Additionally, you’ll take responsibility for the executive’s personal finances and investment portfolio, ensuring all aspects are handled with precision and care.

A snapshot of your role…

  • Optimise the CEO’s time through comprehensive diary and inbox management, expertly handling meeting coordination and scheduling for both internal and external stakeholders, coordinating Teams/Zoom calls, in-office sessions, and bookings at top city venues.
  • Lead impactful projects from start to finish, from large-scale event planning to coordinating media appearances and IT initiatives, collaborating across teams to drive real change.
  • Draft, proofread, and prepare high-quality media articles, blog posts, and social media copy, ensuring consistency in tone and accuracy.

 

  • Build meaningful client connections by scheduling follow-ups and ensuring the Managing Director is fully prepared for meetings to foster strong and lasting relationships.
  • Oversee smooth office operations and vendor relationships, organising team celebrations, client functions, and memorable events with an eye for detail and excellence.
