Detailed Job Description:

  • $95,000 to $110,000 + Superannuation
  • Delivering executive support to multiple directors within a reputable and well-established law firm
  • In this newly created Executive Assistant role, you’ll collaborate closely with the current Office Administration Assistant to drive the firm’s success!

What is unique about you?

As an experienced Executive Assistant with a strong background in professional services, you will be a pivotal force in supporting multiple Directors and ensuring the seamless operation of the business through a diverse range of administrative tasks. Your exceptional organisational abilities and proactive approach will enable you to manage complex diaries, coordinate high-level meetings, and oversee logistics with precision and efficiency. You are skilled at organising both domestic and international travel for multiple Directors, paying attention to every detail to ensure flawless execution. Whether navigating virtual or in-person working environments, you will quickly adapt to the evolving demands of the role, maintaining smooth operations at all times.

You will confidently provide vital back-up support for the Office Administration Assistant, contributing to the smooth flow of daily office operations while offering support to the broader administrative team whenever needed. With a sharp eye for detail and a strong commitment to client service, you will manage multiple tasks simultaneously, always ensuring the highest level of accuracy, quality, and efficiency in all your work. Your excellent communication skills and ability to handle sensitive information with discretion will be key in maintaining professionalism and confidentiality. You will approach every challenge with a positive, solutions-oriented mindset, bringing a can-do attitude to even the smallest of office environments, ensuring that the role’s responsibilities are carried out effectively and with excellence

A snapshot of your role…

  • Provide high-level support to multiple Directors by managing complex diaries, scheduling meetings, coordinating logistics, and organising both domestic and international travel arrangements with precision.
  • Liaise directly with clients to arrange lunch and dinner reservations, ensuring an exceptional level of service.
  • Prepare and edit client-facing and internal documents, ensuring they adhere to company style guidelines and maintain high professional standards.

 

  • Oversee administrative tasks such as setting up new matters, drafting engagement documents, managing credit card reconciliations, and assisting with front-of-house duties to enhance the client experience.
  • Collaborate with the Sydney Office Administration Assistant, support daily office operations, and actively contribute to continuous improvement initiatives, while maintaining a strong focus on attention to detail, client service, and confidentiality.
