Detailed Job Description:

  • $45 per hour + Superannuation
  • An exciting Executive Assistant opportunity working directly with the CEO
  • Located in Sydney’s CBD

As an Executive Assistant, you’ll shine by demonstrating exceptional attention to detail in every aspect of your role, from written communication and diary management to organising meetings across global time zones. Your proactive approach and ability to adapt to shifting priorities with agility and precision will set you apart. You’ll naturally take initiative, excel in an autonomous role, and maintain the highest standards of integrity and confidentiality.

Your confidence and skills will be evident in your ability to create and format compelling slide deck presentations, ensuring clear communication of key information. Your forward planning and proactive mindset will allow you to take full ownership of projects, while your flexibility and strong work ethic will ensure seamless adaptation to changing priorities.

Reporting directly to a highly perceptive and detail-driven CEO, you’ll be instrumental in managing complex, shifting priorities within a fast-paced environment. Your ability to anticipate needs and swiftly adapt to evolving demands will be key in delivering seamless, high-calibre support that maximises the CEO’s effectiveness and drives the achievement of strategic objectives.

A snapshot of your role…

  • Proactively manage and coordinate senior executives’ calendars, scheduling internal and external meetings, and overseeing Boards and Committees across multiple time zones. This includes organising travel arrangements, crafting comprehensive itineraries and agendas, and facilitating seamless client interactions.
  • Uphold the highest standards of confidentiality in preparing Board materials and company reports, always ensuring meticulous accuracy and attention to detail.
  • Efficiently prepare, draft, review, and manage a diverse range of documentation, including correspondence, agendas, minutes, and high-level reports, delivering precision and clarity.

 

  • Act as a trusted point of contact for the Senior Team, engaging effectively with both internal and external stakeholders. Manage visitor relations, coordinate corporate events and company dinners, and handle correspondence with a focus on prioritisation and responsiveness.
  • Oversee budget management and expenses, compiling detailed financial reports and processing invoices for the Executive team, ensuring robust financial oversight and compliance.
