Detailed Job Description:

  • $60 per hour + Superannuation
  • Partner with a visionary CEO who drives innovation through efficiency and proactive leadership
  • 6-12-week temporary contract for a traditional C-Suite Executive Assistant

As the interim Executive Assistant to the CEO, you’ll play a pivotal role in this mission. Your responsibilities will include fostering critical stakeholder relationships and streamlining daily operations. As a full-time, temporary ongoing role, it requires dedication while the organisation conducts a permanent recruitment process. For candidates with full working rights, there’s potential for this position to transition from temporary to permanent.

The headquarters, conveniently situated on the city fringe, offers ample parking for full-time office staff. This role presents a unique opportunity to support the longstanding Chief Executive Officer of a transport industry leader. You’ll be working alongside a highly respected executive, contributing to the success of this esteemed organisation. This role isn’t about reshaping the company strategy; it’s about being the indispensable support that allows this CEO to focus on what they do best. What is unique about you?

We’re looking for an Executive Assistant who thrives on being the backbone of day-to-day operations. You’re the person who gets a thrill from taming a chaotic calendar and turning it into a masterpiece of efficiency. You’re a pro at reading between the lines. When the CEO says, “I might need to go to Sydney next month,” you’ve already got flight options, a hotel booking, and a draft itinerary ready to go. You’re always two steps ahead, but you know when to step back and let the CEO take the lead. You’re comfortable being behind the scenes, making sure everything runs like clockwork without needing the spotlight.

You take pride in knowing that your attention to detail and ability to anticipate is a highly respected skill that the CEO places significant value in. When things change at the last minute you just recalibrate and keep things moving. Most importantly, you’re discreet and trustworthy. You understand that in this role, you’ll be privy to sensitive information, and you treat that responsibility with the utmost respect. This role is about providing invaluable support that enables this CEO to focus on strategic leadership, knowing that the day-to-day operations are in highly capable hands.

A snapshot of your role…

  • Efficiently manage the CEO’s calendar, orchestrating high-level meetings with key stakeholders, including industry leaders, government officials, and internal executives. Ensure efficient coordination of all logistics to facilitate productive engagements
  • Collaborate with the CEO’s direct reports to streamline communication, manage access, and provide status updates. Act as a strategic gatekeeper, effectively delegating responsibilities and optimizing the CEO’s time and attention
  • Comprehensively prepare for board meetings: draft and distribute agendas, compile materials, record minutes, and diligently follow up on action items

 

  • Craft, format, and finalise various documents including board reports, meeting agendas, minutes, presentations, and correspondence, ensuring accuracy and adherence to organisational standards
  • Enhance operations by managing essential administrative tasks, from arranging complex travel logistics to processing expenses and maintaining meticulous filing systems
