Detailed Job Description:

  • $50 per hour + Superannuation
  • Support a fantastic CEO who values value efficiency, adaptability, and autonomy!
  • An interim 1-month Temp contract | 4 Day week | St Leonards location

This Professional Association serves as a vital advocate and representative body within New South Wales. Through its advocacy efforts, it champions the interests of their members, providing essential support, offering resources, professional development opportunities, and legal advice. In this one-month temporary interim position, you will be stepping into a friendly, welcoming, and collaborative organisation with a diverse group of colleagues, with emerging talent and impressive longstanding tenures. Their team boasts a diverse mix of emerging talent and seasoned professionals, offering a rich blend of fresh perspectives and extensive experience. Supporting this CEO across four days, Monday to Thursday, your role will primarily involve traditional Executive Assistant duties, along with comprehensive meeting, agenda, and documentation management.

As an Executive Assistant with previous C-Suite experience, you embody a blend of adaptability and efficiency, poised to meet the challenges of supporting the CEO’s dynamic schedule. You are quick to grasp the fluid nature of priorities, and you demonstrate agility in responding to sudden changes. With your proactive stance and knack for problem-solving, you thrive in navigating uncertainty with ease. Your adept communication skills ensure clear and concise updates, fostering transparency and alignment among stakeholders. Operating with a high degree of professionalism, you handle sensitive information with discretion while fostering collaboration with colleagues and key partners. Your diligent attention to detail ensures that meeting documentation is meticulously prepared, and action items are followed up on promptly. Your commitment to excellence is evident in your readiness for regular Monday morning meetings, setting the tone for a productive week ahead. A snapshot of your role…

  • Responsible for drafting, formatting, and finalising various documents including board reports, meeting agendas, minutes, presentations, and correspondence, ensuring accuracy and adherence to organisational standards
  • Manage the CEO’s calendar and scheduling meetings, ensuring efficient use of time. Coordinate logistics for meetings, including room booking, catering, and audio-visual setup
  • Provide comprehensive support for board meetings, including preparing meeting materials, distributing agendas and documents to board members, recording minutes, and following up on action items

 

  • Serve as a primary point of contact for internal and external stakeholders, triaging inquiries, and relaying messages as necessary. Maintain open lines of communication between the CEO and key stakeholders, ensuring timely responses and follow-ups
  • Assist with various administrative tasks such as managing email correspondence, organising travel arrangements, processing expense reports, and maintaining filing systems
