Practical Ways to Build Trust and Autonomy with Your Executive

Understand Their Priorities

  • Trust begins with a clear understanding of what is important to your Executive.
  • What is top of their list today and how will you help them achieve it.
  • Look beyond the meetings and deadlines, take the time to understand their strategic priorities, pressure points, and leadership style.
  • The more context you have, the easier it becomes to make decisions independently.
  • A senior EA who understands the broader business landscape can confidently prioritise, re-sequence commitments, and protect time for high-value work.

Anticipate Before You Are Asked

  • One of the most effective ways to build autonomy is through anticipation. When you consistently stay one step ahead, your executive increases trust in your judgement.
  • This could be as simple as reviewing the week ahead and identifying potential conflicts before they arise, ensuring meeting materials are prepared in advance, or flagging when a discussion may require more time than allocated.
  • Anticipation transforms the dynamic. Instead of reacting to requests, you begin proactively shaping the day.

Create Frictionless Days

  • A frictionless day is one where your executive can move from task to task without unnecessary interruptions, confusion, frustrations, reworks or delays.
  • You play a critical role in making this happen. Consider the small but powerful ways you can reduce friction:
    • Ensuring meetings have clear objectives and agendas.
    • Grouping similar commitments together to minimise context switching.
    • Building realistic buffers between meetings.
    • Making sure all materials are prepared in advance.
    • Managing communication flow so urgent matters are surfaced quickly.
  • These seemingly small details create significant impact. When an executive can focus on decisions and leadership rather than logistics, the value of a strong EA partnership becomes immediately clear.

Communicate With Clarity

  • Autonomy thrives on clear communication. Your executive should feel confident that they have visibility without needing to check in constantly.
  • Provide concise updates when priorities shift, flag potential issues early, and summarise key decisions or actions when needed. The goal is to keep your executive informed without overwhelming them with unnecessary detail.
  • Many experienced EAs find that a short daily or weekly overview helps maintain alignment while allowing both parties to work independently.

Develop Decision Confidence

  • You are often required to make decisions in real time, whether that involves managing scheduling conflicts, prioritising requests, or responding to stakeholders.
  • Building trust means demonstrating sound judgement. When faced with a decision, consider how your executive typically approaches similar situations. Over time, your instincts will align with their expectations.
  • If a decision sits in a grey area, provide a recommendation rather than simply escalating the issue. Executives value assistants who think critically and present solutions.

Build Strong Stakeholder Relationships

  • Building professional, respectful relationships with internal and external stakeholders strengthens your ability to manage expectations, prioritise requests, and maintain a smooth flow of communication.
  • When stakeholders trust your judgement, they are more likely to respect boundaries and work collaboratively with you.

Consistency Builds Credibility

  • Each time you successfully manage a challenge, anticipate a need, or remove an obstacle before it becomes visible, you reinforce your credibility.
  • Over time, your executive begins to rely on your perspective not just for operational support, but for insight and judgement. That is when the role truly evolves.

The most effective EA and executive partnerships are built on mutual trust, shared understanding, and the confidence that both individuals are working towards the same outcomes. By focusing on anticipation, clear communication, and creating frictionless days, Executive Assistants continue to elevate their role as indispensable partners.

“By becoming better attuned and aware, we can effect change, even if only in small ways. Encourage and empower instead of protecting; stand up, speak up, show support and don’t slide into the background”
